PRODUCTION COORDINATOR

Overview

The Production Coordinator role is a full-time, salaried position that will report to our in-house Production Manager and work on event/experiential productions as well as video productions. When we’re in production or pre-production, your role will vary between assistant producer-like tasks (planning, sourcing, scheduling, tracking budgets, organizing, communicating with various teams, delegating, etc.) and PA-like tasks (counting, sorting, building, cleaning, driving cargo vans, running errands). When we’re between productions, you will have similar variety but for internal purposes - accounting, organizing, new business research, etc.

Salary will be commensurate with experience, with additional benefits such as health insurance and paid vacation that will be shared should we reach the interview stage.

Role + Responsibilities

We’re looking for a self-starting, detail-oriented, hard-working candidate with 2-3 years of experience working as PA or higher roles on dozens of productions, preferably in both categories (event/experiential and video) but significant experience in one category is mandatory. You should also be able to confidently explain how the following character traits describe you well:

  1. You’re a great problem solver, able to be quickly briefed on a need/goal and then figure out for yourself how to get it done in a smart, cost-effective, time-efficient, and stylistically appropriate way - even if the path is not obvious or involves many more steps than expected.

  2. You’re a careful, detail-oriented person who can skillfully and accurately use spreadsheets, track expenses, organize production details, make realistic schedules, etc.

  3. You’re diligent and determined in getting every task done right - even if it involves whole days of repetitive action (counting inventory, logging receipts, assembling props, etc.).

  4. You’re an effective communicator, able to delegate tasks to PAs and/or explain how you arrived at a decision or what you need to get something done.

  5. You’re confident in both your own good taste and also in interpreting the taste of a given production, whether it’s matching a beauty brand or luxury event or tv show aesthetic.

  6. You work well as an integral member of a team, but also can work confidently on your own. During slower times, you are able to self-initiate and identify opportunities to enhance processes, organize physical goods or otherwise improve the way we work.

  7. You can find the positive side of every situation. You know that while your tasks will not always be the most visible, enjoyable or rewarding, every single task is necessary to pulling off a given production and so you still bring a good attitude and determined work ethic to the job every day.

  8. You’re comfortable interfacing with clients when appropriate.

  9. You have a valid driver’s license with a clean driving record and are comfortable driving commercial vehicles (e.g., cargo vans).

  10. You’re willing and able to travel by plane for out-of-town pitches, shoots, events, etc.
